Information We Collect
Account Information
When you create an account, we collect your email address and display name. If you sign in with Google, we receive your name and email from Google.
Audio & Video Files
When you upload files for transcription, we temporarily store them to process your request. Files are encrypted during upload and storage.
Transcription Data
We store your transcriptions so you can access them later. This includes the text content, speaker labels, timestamps, and any edits you make.
Usage Data
We collect basic analytics like pages visited and features used to improve the service. We use cookies for authentication and preferences.
How We Use Your Information
- To provide the service: Process your transcriptions, store your files, manage your account
- To improve the service: Understand how people use NovaScribe, fix bugs, add features
- To communicate: Send important updates about your account or the service
- To process payments: Handle billing through our payment provider (Stripe)
What We Don't Do
- We don't sell your personal information
- We don't use your audio or transcriptions to train AI models
- We don't share your content with third parties except to provide the service
- We don't send marketing emails unless you opt in
Data Storage & Security
Your data is stored on secure cloud servers (AWS). We use encryption for data in transit and at rest. Access to user data is restricted to essential personnel and logged for security purposes.
Third-Party Services
We use the following services to operate NovaScribe:
- Firebase (Google): Authentication
- AWS: Cloud infrastructure and file storage
- Stripe: Payment processing
- OpenAI/Anthropic: AI transcription processing
Each service has its own privacy policy. We only share the minimum data necessary for them to provide their services.
Your Rights
- Access: You can view all your data in your account
- Delete: You can delete individual transcriptions or your entire account
- Export: You can download your transcriptions in multiple formats
- Correct: You can edit your profile and transcriptions anytime
Data Retention
We keep your data as long as your account is active. If you delete your account, we remove your personal data within 30 days. Some data may be retained longer for legal or security purposes.
Children's Privacy
NovaScribe is not intended for children under 13. We don't knowingly collect data from children. If you believe a child has created an account, please contact us.
Changes to This Policy
We may update this policy from time to time. We'll notify you of significant changes by email or through the service. Continued use after changes means you accept the updated policy.
